Thank you for your interest in being a vendor for our board game convention in April! As this is a new addition to our convention, we wanted to make sure we set clear expectations and are as transparent as possible about the logistics. We will do everything we can to make this a worthwhile and fun event for you.
As a vendor, you agree to the following:
A. Our Philosophy: The goal of having vendors at our convention is to enhance our attendees‘ experience by having products and services available for purchase and to provide the opportunity for vendors to be as successful selling their wares.
B. Code of Conduct: As a vendor at our convention, attendees and the public alike will associate their experiences with you to Pikes Peak Gamers. We know that you will do your utmost in treating all participants with respect and help create a memorable experience for everyone.
C. Vendor Booths: We have six available booths inside City Hall, right in front of the entrance to Memorial Hall.
Total square footage of this room is 36′ x 16′ = 576 square feet. Please see the sketch below for the dimensions of each booth:
Booth 1: 9′ x 5′
Booth 2: 9′ x 8.5′
Booth 3 & 4: 7.5′ x 5′
Booth 5 & 6: 10′ x 5′
Note: You may make a request for a specific booth, but there is no guarantee of which space you will get. We will make our best effort to accommodate these requests and choose based on what is best for all vendors and attendees.
D. What we provide:
- One long (8′ x 2.5′) or round (5′) table
- Black table cloth
- Two chairs (more available upon request)
E. One Flat Fee: $50 – Covers one booth for Saturday and Sunday. Fees are payable through Eventbrite.
F. Manitou Springs Vendor Permits: The City of Manitou Springs charges a vendor fee of $12 per vendor per day. This is included in your registration fees, and we will pay that on your behalf.
G. Vendor Sales Tax: You are responsible for paying all required sales tax.
H. Hours: Vendor hours will be from 10:00 am – 6:00 PM on Saturday and Sunday. The public is welcome to come inside the vendor area. You may begin setting up at 9:00 AM.
I. Convention Badges: All vendors are welcome to join our gaming convention, but are required to purchase a discounted day badge of $15 per person per day.
J. Deadline: The completed Vendor Registration Form and payment must be received by March 22nd, 2019 10:00 PM. First-come, first-serve. If we receive more registrations than we have space for, we will refund 100% of the fees for these Vendors. Note: After this date, the fee is non-refundable.
K. Additional Notes: You are solely responsible to ensure all of your products, demos, signage, etc. are secure during the event. You must also remove all items from City Hall over night as this room is not locked to the attendees during the night while gaming is underway.
